Should Your Next Trade Show Swap Badge Scanners for Facial Recognition Check-In?

At the ASAE Annual Meeting & Exposition in Indianapolis this month, registration company eShow demonstrated Express Entry, an opt-in facial credentialing system built on Wicket's authentication platform, which already runs at every NFL stadium and has logged more than a million enrolled users. Registration rival Validar has wired the same technology into its own check-in software, aimed at cutting badge sharing on paid events. Neither vendor is pitching it as a replacement for the badge scanner, and the legal reasons why matter as much as the technology does.

For as long as most planners have worked trade shows, checking in has meant one of two things: someone at a table finds your name on a printed list, or a scanner reads a barcode off a badge or a phone screen. The second option became close to universal once mobile registration apps took hold in the 2010s, and it has stayed the default ever since. This month it got a real competitor. At the ASAE Annual Meeting & Exposition in Indianapolis, registration software company eShow ran a demo booth where attendees enrolled a selfie, walked up to a kiosk, looked at a camera, and had a badge waiting in the printer before they had time to set their bag down. No app to open, no phone to pull out, no barcode in sight. Is that ready to replace the badge scanner at your next event? Not across the board, and the reasons it isn't say as much about the technology's limits as they do about where it already makes sense.

What eShow Actually Built

The partnership behind that demo, called Express Entry, was announced on March 18, 2026, a deal between eShow and facial authentication company Wicket. The system is opt-in: attendees who want to use it upload a photo during registration, and Wicket converts it into an encrypted biometric template, a mathematical representation of facial geometry rather than a stored photograph. On-site, an enrolled attendee steps up to a check-in station, is authenticated in under a second, and collects a badge from the printer beside it. Anyone who skips enrollment checks in exactly the way they always have, by barcode scan or manual lookup at the counter next to it. eShow and Wicket both say no biometric data moves without consent and none of it is sold or shared outside the platform. Indianapolis was the highest-profile place either company has put the system in front of MICE professionals directly: roughly 5,500 association executives and staff attended ASAE's show, August 15 through 18.

The Platform Behind the Camera Has a Track Record Outside Events

Wicket did not build its reputation at trade shows. Its technology has authenticated credentialed staff, media, and vendors at every NFL stadium since the 2024 season, and the company counts more than fifty professional teams across the NBA, MLB, MLS, and NHL among its clients. Independent reporting on the NFL rollout put Wicket's accuracy at 99.7 percent, including in low light, with the company reporting zero false positives across its stadium deployments. By its own count, the platform has now logged more than a million enrolled users and eight million biometric transactions. That volume is the argument eShow is making to planners: this isn't an unproven pilot bolted onto registration software, it's infrastructure that has already handled crowds far larger than most conventions will ever see.

eShow Isn't the Only Registration Vendor Betting on This

Validar, whose vCheckin platform runs onsite registration for conferences and trade shows, has integrated the same Wicket technology into its own check-in flow, with attendees opting in by uploading a selfie during registration rather than at an on-site kiosk. Validar makes a different case than eShow does. Rather than leading with speed, it points at fee-based and ticketed events, where a shared badge or a resold registration lets someone attend without paying for it, and argues that a face is a harder credential to hand off than a lanyard. Two competing registration vendors building toward the same feature, for two different business reasons, is usually a sign a technology has moved past the experimental stage.

The Legal Line a Registration Desk Doesn't Get to Ignore

A barcode scanner reads a printed code. A camera that authenticates a face is collecting biometric data, and that category comes with its own rulebook, one most event contracts were never written for. Illinois' Biometric Information Privacy Act requires informed, written consent before anyone collects a resident's facial geometry, along with a public data retention and destruction schedule, and Texas and Washington enforce their own versions of the same requirement. In the European Union, a facial template counts as special category data under GDPR Article 9, which needs consent that is explicit, specific to that one purpose, and freely given, not a clause buried inside a general registration agreement. That last point is where the opt-in design does real work, not just courtesy. A system attendees can decline without losing entry to the event is what keeps facial check-in defensible as freely given consent under both frameworks. Make it the only way through the door and that legal footing changes, particularly for an international MICE event with EU or UK attendees who never signed up for biometric enrollment as a condition of attending their own employer's conference.

What This Means for Your Next Event

Facial check-in is nowhere near replacing the badge scanner industry-wide, and eShow and Validar both design it as an optional lane running alongside the ones planners already staff, on purpose. For most conferences, the honest case for adopting it now is arrival management at high-volume moments, association annual meetings and big trade show openings where thousands of people converge on registration inside the same two-hour window. For paid or ticketed programs, the sharper case is the one Validar is making: cutting down on badges that keep moving after the person who registered has already left. Either way, before signing a contract that includes this, ask the vendor exactly what gets stored, a template or an image, for how long, and whether that data ever leaves their systems. If your attendee list includes EU or UK nationals, get the consent language reviewed against GDPR Article 9 specifically, not just against your standard privacy policy. And keep the barcode lane staffed regardless. The moment facial check-in becomes the only option is the moment its legal footing changes with it.
